Vendor packet

A vendor packet is the information an organizer sends to accepted vendors before an event. It covers dates, load-in times, parking, booth assignments, rules, power and water, contacts and weather plans. A clear packet cuts down on last-minute questions and keeps setup on schedule.

About vendor packet.

Also called: vendor information packet, vendor handbook, exhibitor kit, vendor guide.

Send it a week or two before the event and again as a short reminder the day before. Include a map and a phone number that works on the day.

Include any deadlines for permits, insurance and payment, and state what to do if the weather turns.

Vendors should read it fully and save the contact. Missed instructions are a common source of load-in trouble.

Organizers can set up automatic emails to vendors when they are approved and before the event.
