Cancellation policy
A cancellation policy is the written rule for what happens to payments when a booking or booth is canceled. It sets deadlines, what is refunded or kept and what applies if weather or the vendor cancels. A clear policy shown before payment prevents disputes and chargebacks.

About cancellation policy.
Also called: refund policy, cancellation and refund policy, cancellation terms.
Common structures give a full refund until a set date, a partial refund after it and none close to the event. Say what happens for weather and for illness.
Publish it where customers pay: the booking page, the invoice and the contract. Organizers should put it in the vendor agreement and application.
Follow it consistently. Exceptions are fine, but they should be your decision, not an accident.
