Document vault
Store COIs, licenses, and permits with versions, expiry reminders, and secure share links.

The document vault stores your compliance documents: certificates of insurance (COIs), licenses, permits, and signed agreements. It groups documents by expiration urgency, keeps version history, and shares documents with secure links.
How to upload a document
- Open Documents.
- Upload the file.
- Add the details: for example the carrier name, policy number, license number, and the effective and expiration dates.
When a document renews, upload a new version. The versions form a chain, and the current version's expiration date drives the grouping.
Expiration groups and reminders
The vault groups documents by how soon they expire:
| Group | Meaning |
|---|---|
| Expired | The expiration date passed. |
| Expires within 7 days | 7 days or less remain. |
| Expires within 30 days | Between 8 and 30 days remain. |
| Expires within 90 days | Between 31 and 90 days remain. |
| Active | More than 90 days remain. |
| No expiration | The document has no expiration date. |
BZAR sends expiry alerts 60, 30, and 7 days before a document expires.
How to share a document
- Open the document and create a share link.
- Add a recipient label or email so you know who holds the link.
- Optionally set an expiry on the link.
- Send the secure link.
Each link tracks the view count and the last viewed time. You can revoke a link at any time.
Good to know
- You can link a document to a customer and to a project.
- Signed contract PDFs can be stored in the vault.
