Maya's Candle Co. would love a booth at Old Town Spring Market

Message
Hi Sam,

I'm Maya Johnson from Maya's Candle Co., and I'd love to be a vendor at Old Town Spring Market on Saturday, May 16.

We sell hand-poured soy candles and wax melts, and I'm hoping to apply for a 10x10 booth. I'm happy to send photos of our display, a price list, and any permits or insurance you need.

Could you let me know how to apply, what the booth fee is, and when you'll be choosing vendors?

Thanks so much for your time. I'd love to be part of it!

Thanks,
Maya Johnson

How it works

The math.

  • Vendors can apply for a booth or ask about availability before applying.
  • Organizers can post a call for vendors, accept a vendor, decline politely, or move a vendor to the waitlist.
  • Anything you leave blank shows as a [bracketed placeholder], so you can see what's still missing before you send.
  • Read the draft once and change anything that doesn't sound like you. Templates are a starting point, not a script.
Questions

Common questions.

Should I write to the organizer or use their application form?

Use the application form if they have one; it's the way they expect to hear from you. Send an email when there's no form, when you have a question first, or when you want to follow up on an application.

What should a vendor include in an application email?

Your business name, what you sell, the booth size you need, a link or photos of your products, and any permits or insurance you hold. Keep it short and make it easy for the organizer to say yes.

How do I decline a vendor without burning the relationship?

Thank them, say plainly that there's no spot this time, give a short honest reason such as limited space or category balance, and invite them to apply again. Don't leave applicants waiting for an answer.
