How to organize a craft fair.

To organize a craft fair, book a venue and date about six months out, design a booth layout, open vendor applications with product photos, choose a balanced mix of makers, set booth fees from your costs, promote it for at least a month, and run a smooth load-in and check-in on the day.

Planning

Six months out.

  • Book the venue. Schools, churches, community centers and parks are common.
  • Decide the size: how many booths fit with comfortable aisles.
  • Check what the venue needs: insurance, permits, tables and chairs.
Vendors

Choose a balanced mix.

Ask for three to five product photos and whether everything is handmade. Review for quality and fit, and cap categories so jewelry, candles or soap don't crowd out everything else.

Fees

Price booths from your costs.

Add up the venue, rentals, insurance and marketing, divide by the booths you expect to sell, then add your profit goal. Corner and larger booths can cost more.

Promotion

Fill the aisles.

  • Post the vendor lineup and tag vendors so they share it.
  • List the fair on local event calendars and community groups.
  • Put up signs near the venue the week before.
The day

Load-in to load-out.

  1. Stagger load-in times and send booth numbers ahead.
  2. Have volunteers check vendors in against a list.
  3. Walk the floor during the fair and keep aisles clear.
  4. Ask vendors how sales went before they leave.
Questions

Common questions.

How much does it cost to run a craft fair?

It depends mostly on the venue. Small community fairs in a school or church hall can run on a modest budget; larger fairs add rentals, insurance, security and advertising.

Should my craft fair be juried?

If more makers apply than you have booths, a simple review of product photos and fit gives you a stronger, more varied fair.
